I cannot see the navigation menu.

The navigation menu can be hidden and shown by clicking on the three parallel lines at the top of the screen.

How do I upload multiple files at one time?

Currently, the upload wizard only allows you to upload a single file at a time. If you have many small files, you may wish to combine them into a single file before uploading.

One feature that can shorten the time and effort to upload files is to save your mappings as a template. Saved templates can be applied to a file and save you the time of manually mapping items. If you have files in different formats, you can create a template to support each format. You can manage your saved templates from the 'Saved Templates' menu item.

Can my file contain non-Western characters?

Yes. Save your files in UTF-8 encoding. You may also use UTF-16 encoded files, but you will need to indicate this choice in the upload wizard.

Is there a limit to the number of rows I can submit in a single file?

There is not a fixed limit, but we recommend keeping the file size below 2MB so that the time to upload a file is reasonably short.

Do I need a header row in my file?

You do not need a header row with data elements in your file. In this case, indicate that your file has no header on the first screen.

What are UTF-8 and UTF-16?

Your computer uses character encoding to store the text information you see on a screen into numeric values. The most common encoding scheme is called Unicode, which supports nearly all languages and symbols used around the world. Unicode comes in a couple of different flavors, known as UTF-8 and UTF-16.

Unicode (UTF-8) encoding is the standard for most modern computing systems (Windows 7 and higher, Linux, and MacOS), and unless you know that your system uses a different encoding, you should not need to do anything more. Unicode (UTF-8) is what this system expects by default. However, if you see a validation error similar to the one below, go back and change the file encoding to Unicode (UTF-16).

When I get to Step 2|Define file, my data does not appear in the preview section. What do I do?

Below the Preview section, select the correct Field Delimiter and Text Delimiter settings from the drop down menus. Our application uses these delimiters as we begin to understand the data in your file.

If the upload wizard says that my file has errors, what should I do?

The upload wizard performs a few basic checks on your file. Before you can upload the file, fix any errors reported in your file, then try submitting it again.

The most common type of error is missing data in a column. Be sure that every row in your file has data present in required fields.

Excel shows 1,000 rows in my file, but the upload wizard tells me that 1,000 rows are OK and 9,000 rows have missing data.

Your file probably has extra lines in it that Excel does not display. Open the file in a text editor and see if there are extra rows in your file. If so, delete the 'empty' rows, save your file, and resubmit.

How will I know if my file has passed basic validation?

We will check your file to be sure that all required fields are populated and can be read based on the template you selected or the field matching process. If the basic checks are successful, you will see a message saying that the file is ready to be processed and the Submit button will be blinking. Click to Submit the file for processing.

How can I see what files I have uploaded?

Select the Upload History menu item to the left of the screen. Recently uploaded files will be viewable under the 'In Progress' tab. Files that have been processed will appear in the 'Completed' tab.

I just uploaded a file successfully. Can I upload another file right away?

Yes. Once you upload a file, you can load another one immediately after.

How long will it take to process my file?

That depends on a number of factors, including the size of your file and how many files have been submitted recently by you or other users. Recently uploaded files will be viewable under the 'In Progress' tab. Files that have been processed will appear in the 'Completed' tab. In most cases, files move from In Progress within a few minutes.

I think I just submitted the same file twice. What will happen?

We process files in the order they were uploaded. Assuming your first file contained no errors, it will be loaded into the database first. The duplicate file would then generate errors. You can view these errors and download an error report from the Upload History menu.

My file is reported as 'Completed with errors' in Upload History. What does this mean?

In addition to the basic validation that checks your file in the Upload Wizard, there are additional validation checks that occur once your file is submitted. You can view a summary of the errors, as well as download a detailed listing of records with errors by clicking the row.

You will need to correct these errors and resubmit the records in question.

Some records are marked as 'Pending' in Upload History. What does this mean?

Certain types of errors require additional review by the program administrator.
